    EXECUTIVE COMMITTEE

    Chair: Lynn Wolf

    Objective: Support a high functioning Board of Directors

    Accountabilities:

  • ·      Organize meeting agenda
  • ·      Present contracts for Board approval
  • ·      Track initiatives presented by committees or board members
  • ·      Assign tasks to committees to accomplish new initiatives
  • ·      Hold committee chairs accountable to their committee objectives
  • ·      Coordinate with partner organizations such as the Little Traverse Conservancy
  • ·      Chief contact person for new initiatives and partnerships

    BOARD DEVELOPMENT COMMITTEE

    Chair: Steve Van Dam

    Objective: Establish effective board governance and leadership

    Accountabilities:

  • ·       Present proposals to the Board on Board structure, size, and make-up required to support objectives
  • ·       Accountability chart that is up to date
  • ·       Finding and vetting potential new board members
  • ·       Board member recruitment, orientation, and transition (succession planning) processes
  • ·       Explore potential beneficial partnerships with other organizations that could improve Board function
  • ·       Board training

  • FINANCIAL MANAGEMENT COMMITTEE

    Chair: Robin Stanley

    Objective: Establish and maintain sound financial oversight

    Accountabilities:

  • ·       Annual budget
  • ·       Keep all books and accounts up to date

  • ·       Appraise board of financial challenges
  • ·       Keep all 501c3 requirements current
  • ·       Prepare tax filings as needed

  • FUND DEVELOPMENT COMMITTEE

    Objective: Support the mission of TOMMBA by raising funds as needed

    Accountabilities:

  • ·       Generate fundraising opportunities
  • ·       Follow thru on fundraising opportunities
  • ·       Search out grant opportunities
  • ·       Apply for grants
  • ·       Develop special events as fundraisers

    MEMBERSHIP COMMITTEE

    Chair: Bill Aten

    Objective: Maintain and grow membership

    Accountabilities:

  • ·       Track membership
  • ·       Lead efforts to grow membership
  • ·       Review and recommend membership fees
  • ·       Determine membership benefits
  • ·       Committee budget
  • ·       Tracking and communicating with TOMMBA Donors
  • ·       Support Finance Committee by checking the PO Box  weekly and depositing checks

    TRAIL BUILDING AND MAINTENANCE COMMITTEE

    Chair: Jay VanderWall

    Objective: Build and maintain trails in TOMMBA region

    Accountabilities:

  • ·       Oversight of all volunteer trail building
  • ·       Maintain and grow a list of volunteers for trail building and maintenance
  • ·       Formalize volunteer recruitment, orientation, and retention process
  • ·       Maintain release of liability from volunteers as needed
  • ·       Oversight of all trail maintenance
  • ·       Development of new TOMMBA built trails
  • ·       Development of new trail opportunities
  • ·       Submit proposals to the board for new trails
  • ·       Oversight of tool and machinery needs 
  • ·       Maintenance of tools and machinery
  • ·       Winter fat tire bike grooming

  • MARKETING AND OUTREACH COMMITTEE

    Chair: Nate Farran

    Objective: Promote and educate TOMMBA’s mission, vision, and activities to its members and the public.

  • ·       Promoting fundraising efforts
  • ·       Promote membership building efforts

    TECHNICA ASSISSTANCE COMMITTEE

    Chair: Chris Benson

    Objective: Support TOMMBA’s Information Technology systems and processes

    Accountabilities:

  • ·       Management, training, and administration of the Google Workspace for Non-profits Account
  • ·       Email marketing platform
  • ·       Social media platform(s)
  • ·       Website maintenance
  • ·       Website domain name registration renewal
  • ·       Trailforks mapping platforms
  • ·       Other technical services/platforms as required.
  • ·       Committee budget

 

PROJECT MANAGEMENT COMMITTEE

Chair: Tim Faas

Objective: Manage all professionally built trail projects for successful outcomes

Accountabilities:

  • Develop specifications and solicit proposals from trail builders for new pro-built trails.
  • Present builders’ proposals, including specifications, to the board for approval.
  • Review and present builder contract to board for approval.
  • Prepare a project plan for the successful completion of the project. This plan is to include the trail specifications, key milestones, core dependencies, names of responsible parties, starting dates, completion date, and budget. Share this plan with all board members for board approval.
  • Provide written reports to the board for each monthly meeting. When the project is fully under way, provide reports on a more frequent basis as chair is able. Reports to include:
    • Status on timeline
    • Status on budget
    • Status of deviation from technical specifications
    • Any exceptional information or circumstances that may arise
  • Obtain board approval for any expenditures that exceed the Board-approved Budget.
  • Obtain board approval for deviation from agreed technical specifications.
  • Provide Marketing Committee with status photos and trail progress content.
  • Arrange and coordinate assistance from any committee as needed.
  • Be the primary contact for the trail builders.
  • Perform onsite inspections and approval of the trail builders work and progress as frequently as appropriate.
  • Coordinate with the trail builders on any needs they have or special requests they may have.
  • In the event there are multiple projects and project managers, coordinate all requests for action from Committees with the project managers.
  • At approximately 80% completion of new trail construction, the project manager shall schedule a trail visit with board members for final approval.
